Experiences are our way of bringing that to life: real in-person activities, created and led by registered community members with verified profiles, for other registered community members. Whether you're hosting a city walk, a cooking session, or a day trip, or joining one as a participant — these Terms are here to keep things clear, fair, and buzzing. 🌍✨
These Experiences Terms and Conditions ("Experiences Terms") apply to all experiences created, listed, or joined through the StayingBee platform. They supplement and should be read alongside the StayingBee Terms and Conditions and, where applicable, the Host Terms and Conditions. In the event of any conflict between these Experiences Terms and the general Terms and Conditions, these Experiences Terms prevail for matters specifically relating to experiences.
1. What is an Experience? 🎢
An experience is a real-world activity or event created by a registered StayingBee member with a verified email address (the "Experience Creator") and made available to other registered members ("Participants") through the platform.
Experiences can be:
Free — no charge to participants
Paid — a price per spot is set by the Experience Creator
Flexible date — free experiences where the final date and time are confirmed by the Experience Creator after participants have joined (paid experiences cannot be flexible date)
Experiences may be:
Public — open to all registered users on the platform with a verified email address and complete profile
Community-only — restricted to members of a specific community on the platform
Private — only visible to people with access to the specific experience link; the same account and profile requirements apply to join
2. Eligibility 🐝
2.1 Browsing
Anyone may browse experiences on the platform without an account.
2.2 Joining an Experience
To join any experience, you must:
Have a registered StayingBee account with a verified email address
Have a complete profile, including a profile photo, bio, name, and gender
For community-only experiences: be an approved member of the community
2.3 Creating an Experience
To create and list an experience, you must:
Have a registered StayingBee account with a verified email address
Have a complete profile
3. Experience Creator Responsibilities 🏡
3.1 Accurate Listing
Experience Creators must provide accurate, honest, and complete information about the experience, including:
A clear title for the activity
A description of the activity, where relevant — if the experience requires additional context or explanation, this should be provided so participants can make an informed decision before joining
The correct date, time, and location (or confirmed details for flexible-date experiences once agreed)
Any costs, requirements, or conditions participants should be aware of before joining
Maximum capacity
3.2 Responding to Join Requests
For experiences that require manual approval, Experience Creators must respond to join requests within 24 hours. Experience Creators may decline join requests for legitimate reasons but may not decline based on nationality, race, religion, gender, sexual orientation, or other protected characteristics.
3.3 Delivering the Experience
Experience Creators are responsible for showing up and delivering the experience as described. If circumstances change, Experience Creators must cancel in advance and communicate promptly through the platform.
3.4 Flexible Date Experiences
For flexible-date experiences, the Experience Creator is responsible for:
Facilitating date discussion with participants via the group chat
Confirming the final date, time, and location before the listed date range closes
Cancelling the experience directly through the platform if no agreement can be reached, which will automatically notify all participants
3.5 Community Standards
All Experience Creators must uphold StayingBee's Community Guidelines and create a welcoming, safe, and respectful environment for all participants.
4. Participant Responsibilities 🌍
4.1 Accurate Information
Participants must ensure their profile information is accurate and up to date. Experience Creators may only request additional information from participants if it is directly relevant to the experience — for example, dietary requirements for a food event or fitness level for a physical activity. Participants are not required to provide any information beyond what their profile contains unless it is necessary for the experience to take place.
4.2 Showing Up
If you have confirmed a spot, you are expected to attend. If you cannot, cancel in advance through the platform so the Experience Creator can plan accordingly.
4.3 Conduct
Participants must treat Experience Creators and fellow participants with respect. StayingBee's Community Guidelines apply to all experience interactions, before, during, and after the activity.
4.4 Safety
Participants are responsible for their own safety and wellbeing during an experience. StayingBee acts as an intermediary platform and does not supervise, insure, or guarantee the safety of any activity.
5. Platform Fees and Payments 💳
5.1 Free Experiences
No platform fee is charged for free experiences. No payment is collected from participants.
5.2 Paid Experiences
For paid experiences, StayingBee charges a platform fee of 10% of the experience price per spot (the amount set by the Experience Creator), subject to a minimum fee of €1 per spot. The fee is calculated from that listed price — not from the host payout and not as an extra charge on what the Experience Creator receives. Participants pay the experience price plus this platform fee (and any applicable taxes) as shown in the total at checkout. Experience Creators receive 100% of the price they set. All payments are processed through the platform via Stripe. Off-platform payments between Experience Creators and Participants are not permitted.
5.3 Payment Timing
For paid experiences, participants are not charged at the time of joining the Experience on the platform. Your spot is reserved, and payment is authorized when you join the experience, but you will only be charged after the cancellation deadline has passed (which is usually a few days before the Experience takes place).
5.4 Currency
All prices are displayed and processed in Euros (€). Currency conversion fees imposed by your financial institution are your responsibility.
5.5 Payout to Experience Creators
Experience Creators receive 100% of the price they set for their experience. Payouts are processed via Stripe once the experience has taken place. Experience Creators must have an active Stripe Connect account to receive payment.
6. Cancellations and Refunds 🔁💸
We want things to be fair for everyone. Here's how cancellations work, depending on who cancels and when:
6.1 Participant Cancellation — Free Experiences
You may cancel your spot at any time with no charge. No payment is involved.
6.2 Participant Cancellation — Paid Experiences
Each paid experience has a refund policy and a cancellation deadline set by the Experience Creator. Both are shown on the experience listing and on the join confirmation screen before you complete your request.
The cancellation deadline is a number of days before the occurrence date (3 days, 1 week, 2 weeks, or 1 month). To receive a refund under the policy below, you must cancel on or before the end of that day in the experience timezone.

If you cancel after the cancellation deadline, you are not eligible for a refund under the selected policy.
Unless the Experience Creator changes it, the default is Full refund with a cancellation deadline of 1 week before the occurrence date.
You are generally not charged until after the cancellation deadline has passed — see section 5.3. If your join request is still awaiting host approval, billing may differ.
6.3 No-Show
If a participant does not attend a paid experience without cancelling in advance, no refund will be issued.
6.4 Experience Creator Cancellation
If the Experience Creator cancels the entire experience:
Free experiences — all participants are notified; no payment implications
Paid experiences — all participants receive a 100% full refund, regardless of the cancellation policy or timing
Depending on the circumstances of the cancellation, StayingBee reserves the right to apply a penalty to the Experience Creator. This may be monetary or relate to platform usage, such as temporarily or permanently restricting the ability to create new experiences. These measures exist to maintain trust and reliability within our community.
6.5 Flexible Date Experiences
If no date is agreed upon before the listed date range closes, the experience will be automatically marked as completed and all participants will be notified. No payment is involved as flexible-date experiences are always free. Please note that StayingBee does not monitor whether the experience actually took place — once the date range closes, we assume it did.
7. Liability ⚠️
7.1 Platform Role
StayingBee acts as an intermediary platform only. We facilitate connections between Experience Creators and Participants but are not a party to the experience itself. We do not organize, supervise, insure, or guarantee any experience.
7.2 Experience Creator Liability
Experience Creators are solely responsible for the experiences they create and deliver. StayingBee is not liable for any injury, loss, damage, or disappointment arising from an experience. Experience Creators are strongly advised to consider personal liability and relevant insurance where activities carry inherent risk.
7.3 Participant Liability
Participants join experiences voluntarily and accept responsibility for their own safety and conduct. StayingBee's total liability shall not exceed the platform fees paid in connection with the specific experience giving rise to the claim.
7.4 Disclaimer
TO THE MAXIMUM EXTENT PERMITTED BY LAW, STAYINGBEE MAKES NO WARRANTIES, EXPRESS OR IMPLIED, REGARDING THE QUALITY, SAFETY, LEGALITY, OR ACCURACY OF ANY EXPERIENCE LISTED ON THE PLATFORM.
8. Prohibited Uses 🚫
Experiences may not be used to:
Conduct illegal activities or violate local laws
Circumvent or manipulate the platform fee structure
Collect payments from participants outside the platform
Misrepresent the nature, location, or content of an activity
Harass, discriminate against, or abuse participants or other members
Promote commercial services unrelated to the community experience
Violations may result in experience removal, account suspension, or permanent termination.
9. Content 📸
Experience Creators retain ownership of the content they post (descriptions, photos, etc.) but grant StayingBee a non-exclusive license to display that content on the platform and across social media for promotion. You are responsible for ensuring you have the right to post any content you upload. Experience content is visible only to registered members with a verified email address, consistent with StayingBee's community-first approach.
10. Privacy and Data 🔒
The collection and use of personal data in connection with experiences is governed by the StayingBee Privacy Policy. Participant profile information (name, photo, bio) is shared with Experience Creators and other participants for the purpose of the experience. All participants are added to a shared group chat upon joining or being confirmed.
11. Dispute Resolution ⚖️
If something goes wrong, reach out first: support@stayingbee.com. We'll do our best to mediate fairly. If a resolution can't be reached informally, disputes will be resolved in the District Court of Helsinki, Finland. The language of proceedings is English. These Experiences Terms are governed by the laws of Finland.
12. Modifications to These Terms
We may update these Experiences Terms from time to time. Material changes will be communicated via email or platform notification at least 30 days before taking effect. Continued use of the experiences feature after changes constitutes acceptance of the updated terms.
